BOOKING TERMS

COMPANY AND OWNERSHIP

Poleart Dance Studios AS is a Norwegian registered, privately owned company. Poleart Dance Studios Ericeira is a division of Poleart Dance Studios. All Rules, regulations, terms and conditions for Poleart Dance Studios also apply for Poleart Dance Studios Ericeira. The company will further on only be adressed as Poleart Dance Studios.

ONLINE PURCHASE

If you wish to return a product purchased in our store please fill out return form that came with the package. Return the product and form to us as soon as possible and within 14 days from you received the package. You get back the cost of the product. Shipment costs will be charged the customer. Consumables like “Mighty Grip” is not considered “in the state” if they are used / tested by consumer and cancellation rights will not apply if the product packaging has been opened.

If you wish to return a product to us please send it (with return form completed) to: Poleart Dance Studios AS Postboks 28 1332 Østerås Norway NB: Do not send the product COD.

You need to contact us in advance by mail to info@crossfitstudios.com if you wish to make use of the right of cancellation, but it is nice if you add a few words about why you want to return the product and we will contact you if there is any doubt about your case

PURCHASE AND DELIVERY

Poleart Dance Studios sells products in the studio and in our online shop. These can be picked up in the studio or be shipped to the buyer. the buyer will be charged for the shipping costs. Poleart Dance Studios ships all packages normally within one week after payment is received. This assumes that we have the product in stock. In summer and holiday, delivery time may vary. Contact the studio for more information. When item is shipped you will receive an email from Poleart Dance Studios regarding the package number so you can track your package on www.posten.no. If you do not receive the package, please contact us as soon as possible on (+ 47) 920 85 200 so we can help.

PURCHASE POLICY AND BOOKING TERMS

Booking and payment of lessons, work shops, events and products can be done online or at one of our locations. All lessons and products must be paid in advance. Memberships will be paid in advance as a monthly automatic charge to the clients given credit card. All credit card information is saved in encrypted form to safely store client information.

When booking our training package trips 25 % of payment will be charged upon the time of booking as a reservation deposit. The remaining amount will be charged upon arrival. Any requests for changes and cancellations to reservations must be made in writing to info@crossfitstudios.com.

Changes to bookings are subject to availability. The deposit will be refunded in full if a booking is cancelled a minimum of 45 days before the booked arrival date. Cancellations made less than 45 days prior to the arrival date will be charged 80 % of the deposit. When cancellations are made 14 days or less upon arrival date the deposit will not be refunded. Accommodation and airport pick up will automatically be charged the given credit card upon arrival.

Other services such as other transport, meals at the house, massage, bicycle rentals, training, surfari, surf lessons and so on will be accumulated on an additional invoice and will be charged upon departure. The prices vary from destination to destionation. By accepting the booking terms you have accepted the prices on these services on the destination booked. These services can be paid with a credit card or cash upon departure.

An additional credit card fee will be added to the price upon any payment. This fee will be between 3,0-4.0 % of the total amount as it is processed as a cash transfer. Complaints: Any complaints must be presented to us immediately so that we can try and correct the situation as soon as possible. If we cannot come up with a good solution to correct the situation you can give us your complaint in writing within 8 days after the trip.

CANCELLATION OF COURSES, BACHELOR PARTIES, EVENTS OR PRIVATE LESSONS

For an overview of current guidelines for the purchase of training courses, bachelor parties, events or private lessons, go to terms & conditions. Cancellations of these services must be maid 14 day prior to arrival date to ensure 100 % payback.

REFUND POLICY

When purchasing an item at Poleart Dance Studios online shop, you have 14 days to return the item if you regret the purchase. the shipment costs lies with the buyer. The item need to be in its original package, unused, undamaged and with all tags, price tags etc for you to be entitled 100 % refund. If the item does not fit the criteria 100 % refund is not guaranteed.

We will refund the cost of the item with in 3 weeks of receiving the item/refund documents.

COMPLAINTS

If the item you received is incorrect or missing, it is nice if you make us aware of this as soon as possible and within a reasonable time after the defect is discovered.

Please contact us by phone (+47) 920 85 200or send email to info@crossfitstudios.com Please give us your name, date of purchase and the product when you call or email us. In a complaint, we will ask you to send the product back to us so that we could look at it. Is the warranty applicable will receive an equivalent product and get your expenses covered. If there is a failure of the product you will be offered a solution on how to repair the problem and the cost of this.

Please note that claims may not apply to incorrect use or breach of the product by the customer.

CERTIFICATE

Minimum age for participants is 18 years. Participants under 18 must have approval from a parent / guardian.

EVENTS

Poleart Dance Studios offers private events such as bachelor parties, birthdays, private and semi-private lessons, weekend courses, workshops and training/activity vacation package trips.

BOOKING EVENTS

When booking a private event, you pay a deposit with your credit card of 25 % of the total amount. The remaining amount is deducted from the card automatically two weeks before event date. Bookings are made on an ongoing basis.

AVAILABILITY

The booking is only secured when your deposit is received, but you can reserve a date for no charge for 3 days unless otherwise agreed in advance. Check availability and submit a reservation request online. To query time / date of event, you must be logged in with your username and password. You can easily create a customer profile.

MOVING THE EVENT DATE

Your payment secures the time and date of the event. If you want to change the date or time, this can be done depending on availability. Normal cancellation policies apply.

CANCELLATION

Cancellation of an event must be made within 14 days before the contract date. Rules for cancellation of bachelor parties and other private events apply. Cancellation of classes must be maid 8 ours prior to class to avoid charges. Late fee of EUR 5.- is charged for students arriving more than 5 minutes late to a class, event or workshop.

CHANGES

Poleart Dance Studios reserves the right to change the schedule as needed. This is exceptional, but can occur if it is absolutely necessary. Workshops and private events wil be credited if we do not find a satisfactory solution for you.

COUNT CARDS & DROP-IN

Count cards is valid for 6 months from date of purchase with the purchase of 10 clips and 2 months on purchase of 5 clips. You book classes online up to 14 days in the advance. Cancellation must be made within 8 hours before the class for you to avoid being charged for the class. One drop-in count applies to one class and must be used within 1 month from date of purchase. Unpaid classes not canceled within 8 hours in advance must be paid and will be charged the given credit card.

MENBERSHIP

Poleart Dance Studios AS offer these memberships: 6-Month Membership and 3-month membership. These are for Pole Classes and Menu classes on the schedule and apply to up to 20 classes per month per membership. Subscriptions for membership is a binding contract between the member and Poleart Dance Studios. Membership is personal and classes can not be used by anyone other than the member himself. Members can book classes online. Poleart Dance Studios reserves the right to exclude participants who do not follow these rules, showing signs of overtraining or injury or who otherwise do not follow the instruction to instructors and who thus can put their own or others’ health or safety.

RULES FOR BOOKING CLASSES

Online booking of classes can be made up to 14 days ahead. Participants must attend at least 5 minutes before the class start and sure to be registered to class and do the proper warm up. Anyone arriving more than 5 minutes late will not be allowed access to the class.

RULES FOR CANCELLATION OF CLASSES

Participants who arrive more than 5 minutes late will not be allowed access to the class and will be imposed a no show / late cancellation fee of 100kr per time. The fee is deducted from member’s credit card. Cancellation must be made within 8 hours before class. ATTENTION! This also applies to the waiting list. If late cancellation / no show happens 3 times, Poleart Dance Studios reserves the right to freeze online booking for 1 week. All reservations this week will be cancelled and you will not be able to book online, by phone or by e-mail. You have to meet up in the studio and get accepted for classes on Stand-By, if space is available.

FREEZING MENBERSHIP

6-month membership can be frozen for 1 month for free on the following terms: Freezing membership form must be completed and submitted by the member to Poleart Desk or by mail to info@crossfitstudios.com within 30 days before the next auto-pay feature date. Example: If your regular payment date on 16 of each month and you would freeze from December must submit the freezer form within 16.11. Freeze Period will be 12:00 p.m. to 12:00 p.m. When the freeze period is over the fixed payment restart automatically. Freezing of membership can also be applied in pregnancy, illness, injury, etc. and may be approved upon presentation of documentation from the doctor. Form for freezing of membership must be submitted to Polearts desk no later than 30 days before the next payment or as soon as possible by illness, injury, etc.

TERMINATION OF MENBERSHIP

Termination of membership during the lock-in period may be approved when moving further than 50 km from the studios location (documentation required) and any other documentation that clearly reasons why the member can no longer take advantage of their membership (chronic injury, illness enables termination of membership).

WORKSHOPS

From time to time Poleart Dance Studios organize workshops with guest teachers from outside or with their own instructors. Rules for registration and payment may vary from workshop to workshop and will be provided by advertising and booking info of the workshop.

LIABILITY RELEASE

The student is responsible for the safekeeping of my personal belongings while they attend class. Classes may be physically strenuous and any participation is considered voluntary in them with full knowledge that there are risks of personal injury, property loss or death. Booking a class means that the person agrees that neither them selves, their heirs, assigns or legal representatives will sue or make any other claims of any kind whatsoever against or its members for any personal injury, property damage/loss, or wrongful death, whether caused by negligence or otherwise.

Use of strenght training room and all the facilities in the strenght training room is at your own risk. You need to have knowledge about using weights to rent the weights training room as the room is not assisted with Personal Trainers at all times. Please make sure you have an insurance that covers any personal injuries and NEVER put on more weights than what you KNOW you can handle at least for 5 repetitions of the exercise. ALWAYS use the safety pins and supports on the bar systems do ensure you dont get the bars on top of you if you loose your  grip. NEVER train alone. You must be 2 persons minimum in the studio to assist each other and ensure safe training.
